Tātaki Auckland Unlimited

The Customer: Tātaki Auckland Unlimited

From the wildlife habitats of Auckland Zoo to the cultural treasures of Auckland Art Gallery, Toi o Tāmaki, and the historic Auckland Town Hall, Tātaki Auckland Unlimited manages some of Auckland's most iconic and recognisable facilities. These destinations play a vital role in shaping Auckland’s cultural identity, as well as its recreational and economic wellbeing.

Managing assets of this scale and importance requires accurate, timely, and accessible information to support confident decision-making, effective investment planning and consistent delivery of high-quality public experiences.

The Challenge

Accurate, timely, and accessible asset information is essential to effective operational and strategic decision-making. However, reliance on periodic condition assessment cycles, limited integration between systems, and manual data inputs created delays between real-world changes and system updates. As a result, asset information could be of varying currency, reducing the confidence in its use for important analysis and decision-making processes at the organisation.

At the same time, access to asset information was largely restricted to users of Tātaki Auckland Unlimited’s asset management system, SPM Assets. This limited visibility across the wider organisation and created reliance on manual reporting and data extraction to share information with stakeholders, making access to up-to-date information slower and less efficient than required.

The Solution

To address these challenges, Tātaki Auckland Unlimited engaged with SPM Assets to implement an API-centred approach to asset data integration.

This solution focused on improving how asset information is exchanged between systems, with the goal of enabling the efficient flow of data without reliance on periodic update cycles or manual data handling.

Both API “push” and “pull” integration approaches were considered to determine the most effective method for maintaining accurate and up-to-date asset information across platforms.

The final solution leveraged the SPM Assets API to facilitate seamless data synchronisation between the connected systems, allowing asset records to be updated more routinely and in a consistent manner.

This has created an integrated environment for asset information, improving both the accessibility and availability of asset data across the organisation. It has also reduced reliance on manual reporting routines and data extraction processes, enabling regularly refreshed asset information to be available through connected systems.

The Results

The implementation of the SPM Assets API has significantly improved the way asset information is maintained and accessed across the organisation, delivering the following benefits:

  • Improved availability of current asset information to support operational and strategic decision-making.
  • Greater visibility and confidence with asset information across the organisation through connected systems.
  • Improved availability of consistent and up-to-date asset information for connected internal reporting and planning tools.
  • Eliminated the need for manual data downloads for reporting and planning.
  • Employee time can be spent on activities of higher value than data extraction and exchange using manual methods.
  • Improved efficiency in how asset information is shared and consumed across teams. Faster access to the information stakeholders need, when they need it.
  • Supports controlled, authenticated exchange of defined asset data between connected systems.

"We now have a far clearer and more consistent view of our asset information across systems. That visibility has strengthened confidence in the data we’re using for reporting and decision-making at a leadership level."
Paul Tyler, General Manager Property - Tātaki Auckland Unlimited

"The API integration has made regularly refreshed asset information available through our internal reporting tools, eliminating the need for manual data downloads for reporting and planning. It has reduced effort across the board and supports better planning and longer-term investment decisions."
Sarp Egene, Senior Asset Management Planner - Tātaki Auckland Unlimited

If your organisation manages a diverse and complex portfolio and needs more timely, accessible and reliable asset information across its systems, contact SPM Assets to discuss how API integration and connected asset data can reduce manual processes, improve reporting and give stakeholders greater confidence in the information used for planning and decision-making.
